Account and security
We store the contact name, username, email address, language and a password hash. Verification and reset links, security logs and action records support secure access and traceability. New accounts require email verification. Login attempts are limited using derived identifiers, including identifiers based on IP addresses.
Entries and data sources
For event organisation we process names, birth year, competition sex, club, country, events and personal bests with dates and venues. Licence number and WA profile are optional. Data come from athletes or a person entering them, such as a coach or parent. Anyone entering others must be authorised and pass on this notice. Missing required details prevent a complete entry.
Public participant list
Approved entries are visible without login, showing name, birth year, club, country, event and personal best with venue and date. Contact and payment details, licence number and WA profile are not published in this list. Withdrawn entries are hidden. Third parties can copy public information; a search-engine directive does not prevent this. Contact meldung@dola-event.de with objections to publication.
Recipients and hosting
Authorised organisers process entries. Organisational notices are sent to the organiser’s mailbox. Entry data may be exported to Seltec TAF3 for competition administration; there is currently no automatic LADV synchronisation. IONOS provides hosting and email infrastructure. Access generates technical connection data such as IP address, time, browser and requested page. Log and backup settings must be checked against the hosting contract before live operation.
Stripe payments
Choosing Stripe takes you to a payment page operated by Stripe. We transmit the amount, currency and technical entry/payment identifiers; this integration does not send athlete names, licence numbers or personal bests to Stripe. Stripe collects the payment and any contact details entered there. We retain payment/refund identifiers, amounts and statuses, not full card details. This release only permits Stripe test payments. Stripe’s privacy policy explains recipients, international transfers and safeguards; contractual roles must be checked against your Stripe account before live use.
Browser storage
The dola_session session cookie supports login and form protection. It is configured as a session cookie; the portal requires login again after two hours of inactivity. The dola_language local-storage entry retains your language until cleared by you or your browser. The supplied portal code contains no Matomo, advertising trackers or embedded social-media modules. External links transmit data to their operators when opened.
Legal bases – for review
Proposed bases are entry administration and pre-contractual steps (GDPR Article 6(1)(b)), legal retention obligations (c), and legitimate interests in secure operation and competition organisation (f). The specific basis for athletes entered by others and especially for the public list, including children’s interests, requires separate review. This draft does not replace that assessment or treat reading the notice as blanket consent.
Retention and deletion – outstanding
Accounts also support future entries. Account deletion removes usable access and replaces contact details, but does not erase competition entries. This test release has no automatic deletion job for entries, payments, logs or public lists. Specific periods for accounts, entries, public lists, mail records and backups must be defined and implemented before live use; legally required retention must be handled separately. Publication currently does not end automatically after the event.
Your rights
Subject to applicable legal conditions, you may request access, correction, erasure, restriction and data portability. You may object to processing based on legitimate interests for reasons relating to your situation. Consent, if given, may be withdrawn for the future. Contact: meldung@dola-event.de. You may complain to a supervisory authority, particularly LDI NRW. Entry approval is decided by the organisers, not solely by automated processing.
